Image to Excel

Image to Excel puts data in the wrong columns: what to check

Recognizing the words in a table is only part of the job. Each value also needs to land in the correct row and column. If a quantity appears under the product name, stop and compare the result with the image before using the spreadsheet.

1. Identify what went wrong

If Excel's picture command is missing entirely, use the separate Data From Picture menu and installation guide.

2. Check the original table before reading it again

Use one complete table with all column headings and rows visible. Keep unrelated captions, page headers and neighboring tables outside the selected area. For a screenshot, capture the source table again if the text is too small to read clearly. For a photo, keep the page flat, in focus and as square-on as possible. Retake photos with blur, glare, curved paper or cropped characters.

These checks follow Microsoft's picture-import guidance on framing, perspective and reviewing extracted data. They can help prepare an input; they do not guarantee accurate recognition.

3. Try the native Excel review first

If you already use Excel's Data From Picture, inspect and correct its recognized result before selecting Insert Data. Microsoft documents this review step for its supported platforms, including the web. You do not have to change converters just because a few cells need correction.

For a small number of misplaced values, compare each affected row with the source and put the correct text in its intended cell. Check neighboring cells too: a missing blank cell can make later values appear shifted. Keep a copy of the original and work in a copy of the spreadsheet.

4. Review a simple table in this converter

Image to Excel accepts clear JPG and PNG images of simple tables containing printed English and numbers. It does not support PDF uploads, handwriting, receipts, other languages or complex nested headings. It is an alternative workflow, not a proven fix for Excel's recognition errors.

  1. Select Choose images, then compare the Editable table with the image. Count the columns and data rows; compare the first, middle and last rows and every important value.
  2. If the table boundary or perspective needs adjusting, select Crop / straighten. Place the four corners around the complete table, leave a small margin, inspect the preview and choose Apply and re-read. Do this before manual cell edits: re-reading replaces them for that image.
  3. Check the new result again. If only a few cells are wrong, click them to enter the correct values. Add row and Add column create blank space; they do not automatically redistribute misplaced data.
  4. Keep First row is a header selected only when the first recognized row contains headings. Check that the first actual record is not being treated as a heading.
  5. Select Download Excel only after the structure and values are checked. Open the XLSX and confirm its rows, columns and important numbers.

Yellow cells need review, but unmarked cells can also be wrong. The recognition models can share mistakes. If many rows are still merged or shifted, do not use the output as if it were reliable. Ask for the original spreadsheet or plan manual transcription and checking.

Already have text in one column?

In desktop Excel for Windows, Text to Columns can split existing cell contents. Work in a copy, leave empty columns to the right, select the text column, then choose Data → Text to Columns and follow the wizard. Inspect the preview before completing the split.

Use a separator that actually identifies your fields. Splitting every space can break a product name such as Coffee mug into two fields. This method cannot restore missing characters or infer which original image cells belonged together. If the source is a CSV file rather than an image, investigate its delimiter/import settings instead of converting a screenshot of it.

For several images whose individual tables are already correct, follow the multiple-image guide. Combining rows does not repair incorrect columns.
